How we handle your information when you visit, get in touch or book a conversation.

Who is responsible
Conceptive AI, established in Denmark, is responsible for the personal information described in this notice. For questions or requests, contact privacy@conceptiveai.com.
This notice covers website visits, initial enquiries, introductory meeting bookings and optional AI meeting notes. Privacy arrangements for client work are addressed separately when an engagement is agreed.
Visiting the website
Cloudflare hosts the website. Delivering pages and protecting the service involves technical request information, such as your IP address, requested address, request time, browser information and response status. We use this information to operate the website, investigate faults and protect against misuse.
The website does not include analytics or advertising trackers. If you change its motion setting, your browser saves that preference for later visits. The setting is not sent to Conceptive AI. You can change it through the motion control or remove it by clearing the site’s browser storage. The website sets no automatic expiry for this preference.
Getting in touch
The enquiry form asks for your name, email address and message. You can select a topic and optionally add a focus, organisation, working context and timing. We use this information to understand your request, respond and discuss a relevant next step. Please leave confidential or sensitive personal details out of an initial enquiry.
Preparing and reviewing the draft does not submit it. When you choose Send, Cloudflare Turnstile checks for automated misuse using browser and device signals, including your IP address. Cloudflare processes these signals for our protection and also acts as a separate controller when using them to improve its bot detection. If verification succeeds, the reviewed details are submitted to our Cloudflare enquiry service and saved in a private database. We then send a notification to contact@conceptiveai.com through Google Workspace. An on-page confirmation acknowledges that the enquiry was saved.
We send a short automatic confirmation to the email address supplied, followed by a personal reply. The confirmation does not repeat your enquiry content. Duplicate and abuse limits may suppress repeated confirmations; the on-page confirmation still means your enquiry was saved. We keep submission references and delivery status to prevent duplicate messages and investigate failures. Temporary security counters use keyed identifiers derived from network and email addresses.
Your browser may retain or restore form entries independently of the website.
You can email contact@conceptiveai.com directly. We use your sender details, message and any information you choose to include to understand your request, respond and discuss a relevant next step. Please leave confidential or sensitive personal details out of an initial enquiry.
Correspondence is held in Google Workspace, with access restricted to handling your request. We do not forward enquiries to another mailbox or put them in a CRM.
Bookings and AI meeting notes
The booking link opens Google Calendar outside this website. Its form asks for your first name, last name and email address. Your chosen time and meeting details are used to schedule the conversation, with a Google Meet link added after booking. The booking account uses the same Google Workspace service as our email. Google’s booking service has its own Privacy Policy and appointment notifications.
At the beginning of a call, we explain our use of Google Meet’s built-in Gemini notes and ask everyone to agree before starting them. If anyone declines, we continue without AI notes. Gemini processes the conversation to prepare a written summary and follow-up points. Notes start manually; audio/video recording, saved transcription and screenshots in notes are switched off.
Saved notes are held in Google Docs/Drive within our Workspace account, with a link in the Calendar event. Access is restricted within Conceptive AI. We review the notes before sharing them with relevant participants; they are not automatically emailed to guests. Meet can also show participants a summary during the call, separately from access to the saved document.
You can ask us to stop AI notes during the call or withdraw your agreement afterwards through privacy@conceptiveai.com. We then stop the consent-based use of your information and address deletion of the affected notes. Withdrawal does not change the lawfulness of earlier processing based on your agreement.
Why we use information
Where necessary to take steps towards a contract with you at your request, we rely on GDPR Article 6(1)(b). For enquiries made on behalf of an organisation and other relevant business correspondence, we rely on our legitimate interests in responding to requests and maintaining the context needed for the conversation, under Article 6(1)(f). Website delivery, fault investigation, access control and proportionate abuse prevention serve our legitimate interests in operating a reliable service.
We process privacy requests to meet our data-protection obligations under Article 6(1)(c). For optional Gemini notes, we rely on your consent under Article 6(1)(a). The call remains available without AI notes.
You choose whether to contact us. Contact details and enough information to understand your request are needed for a meaningful response; additional context is optional. We do not use an enquiry as permission to add you to an advertising mailing list.
Providers and international processing
Google Workspace provides email, booking and meeting services, including Gemini notes and their storage in Google Docs/Drive. Cloudflare provides website hosting, enquiry processing and storage, and Turnstile bot checks. Our website enquiry database is configured to run and store its data in the European Union. This does not cover all request processing or provider technical records.
We have selected Europe as the Google Workspace region for storing covered data at rest in the European Union. Regional storage settings apply to defined services and categories of data. Other processing may take place outside the European Economic Area, including in the United States.
The providers’ published processing agreements describe safeguards for restricted international transfers, including the European Commission’s Standard Contractual Clauses where applicable. Retention and deletion
For enquiries, related bookings and optional meeting notes that do not become client work, we delete information when it is no longer needed and no later than 6 months after the last substantive contact. We delete spam and irrelevant enquiries within 30 days. These periods cover the copies we manage in our website enquiry database, email, Calendar and Google Docs/Drive; saving another copy does not restart the period. Withdrawal of agreement to AI notes can require earlier deletion.
We complete the available deletion steps for relevant records, including their trash copies. Provider recovery systems can retain residual copies afterwards. Google documents a separate system-deletion process that can take up to 180 days after a qualifying deletion instruction, subject to legal exceptions; this is distinct from our working-record retention policy.
Temporary security and daily-limit counters are scheduled for deletion after 2 days. Separate confirmation-email records used to prevent duplicates are scheduled for deletion after 30 days. An enquiry’s own delivery status is deleted with its enquiry. We monitor deletion and address failures. Cloudflare’s D1 service on our Workers Paid plan has a 30-day Time Travel recovery window; this is distinct from erasure across every provider system.
We have not enabled application request logging or log exports. Provider security and operational records follow the applicable service terms and Cloudflare privacy policy.
Client-work records, specific legal obligations and disputes require separate retention arrangements. We keep only the privacy-request evidence needed to demonstrate how a request was handled or resolve a related dispute, and review its continued need when closing the request and during retention checks.
Your rights
Depending on the circumstances, you can request access to your information, correction, erasure or restriction of its use. You may have a right to data portability where the applicable conditions are met. You can object to processing based on legitimate interests. Contact privacy@conceptiveai.com to make a request.
You can complain to Datatilsynet, the Danish Data Protection Agency, or the supervisory authority in the EU country where you habitually live or work, or where you believe an infringement occurred.
